Briefcase launches Briefcase Ledger, the UK’s first general ledger built for AI

Briefcase, the AI-native accounting startup, today launched Briefcase Ledger: a full double-entry general ledger for UK small businesses and the accountants who support them, built with AI at its core rather than bolted on.

Briefcase Ledger brings the whole bookkeeping and month-end workflow into one platform: invoice capture, approvals and payments, bank reconciliation, chasing missing paperwork, period-end adjustments and VAT/MTD filing. All of it is run by Briefcase’s AI Autopilot, which learns from every correction a user makes.

“Twenty years ago, the general ledger moved to the cloud. Since then, progress has mostly been incremental: another app for another step of the close,” said Reuben Steenkamp, co-founder and CEO of Briefcase. “Firms still have to hire to grow, and business owners still wait weeks after month-end for numbers they can trust. The next ledger has to be built for AI from the ground up, and that’s what we’ve built.”

What Briefcase Ledger does

  • Invoice to payment in one place: line-item capture, categorisation and VAT, plus approval policies by amount and approver. Payments are made via open banking and recorded against the invoice and bank account automatically, including partial, bulk and on-account payments. Sales invoices are raised in Briefcase and reconcile themselves when the cash lands.
  • Bank reconciliation without the extra step: publishing a document matches it against the bank at the same time.
  • Paperwork chasing, automated: select the bank lines missing an invoice or the months missing a statement, choose who owes it and a due date, and Briefcase sends the request. When the client replies with the file attached, Briefcase reads it, matches each document to the right transaction and closes the task, with a full audit trail.
  • A real-time close: an annual insurance invoice is recognised as a prepayment and its schedule drafted on arrival; a laptop becomes a fixed asset with depreciation set; when a recurring supplier’s invoice doesn’t turn up, an accrual is proposed, and reversed when it does. Every journal comes with the schedule behind it.
  • Reporting and filing built in: working papers, AI-led P&L commentary, and VAT and MTD returns filed directly to HMRC.
  • Open by design: 80+ bank and payment integrations including Stripe, and an MCP server so users can connect their own AI tools.

Automation that earns trust

Autopilot uses AI agents to make decisions, then validates them against deterministic checks and historical precedent. Nothing is automated end-to-end until a person has approved it several times, and if something changes, it goes back into review. Across Briefcase’s existing customers, 64% of published transactions now need no edits, a figure that rises the longer the system is used.

“Rules-based automation is slow to set up and breaks as soon as context changes, which is why most bookkeeping is still done by hand,” added Steenkamp. “Autopilot learns from every correction and checks its own work against precedent, so the ledger gets more valuable every month. For accounting firms, that means the cost of serving a client falls over time instead of rising.”
